Dawn Chrystal is committed to safeguarding and promoting the welfare of all children and families.

Aim

The purpose of Dawn Chrystal’s safeguarding policy is to ensure every child and adult I work with is safe and protected from harm. 

This means when working with children I will always work to:

•            protect children from maltreatment

•            prevent impairment of children’s health or development

•            ensure that children are growing up in circumstances consistent with the

provision of safe and effective care

•            take action to enable all children to have the best outcomes

 

Every child will be treated with absolute respect, and under the guidelines of Safer Way, Norfolk Safeguarding Children Partnership www.norfolklsbc.org and CADS, Children’s Advice and Duty Service 0344 800 8021.

Please talk to Dawn Chrystal about any concerns you may have, and go directly to the above organisations if you have any cause for concern about a child in your care.

 

Complaints, Confidentiality and Information Sharing

Complaints Policy

When children, young people, parents, volunteers and staff are unhappy it is vital they are able to complain. 

This procedure also links in with the ‘whistleblowing’ and handling allegations policies and procedures to ensure decisions are made appropriately, especially when the welfare of children/young people is implicated.

Dawn Chrystal will ensure any complaint will be taken seriously and referred to the group leader or manager of the necessary authorities.

•            If the complaint is about the therapist, coach, leader or manager, it will be passed onto either their deputy/member of the management/trustee as appropriate to the organisation

•            The person making the complaint will receive written acknowledgement of their complaint within five working days including details of how it is being dealt with

•            Within 30 working days the person making the complaint will receive resolution or details of what has happened so far

•            If there are delays to resolving the issues the person making the complaint will be kept as fully informed as possible.

•            There may be a need to identify a third party or higher authority to approach if the person making the complaint is unhappy with the outcome to their complaint

•            At all times the welfare of the child is of the utmost importance

This policy will give clear direction to staff, volunteers, visitors and parents about the expected behaviour and our legal responsibility to safeguard and promote the welfare of all children I work with within any one-to-one session or group workshop.

Introduction

Dawn Chrystal fully recognises the contribution it can make to protecting children from harm and supporting and promoting the welfare of all children.  The elements of our policy are prevention, protection and support.

Our policy applies to all children, volunteers, visitors, and staff.

A child is someone under the age of 18 years old.

Our Ethos

Dawn Chrystal, and anyone within Our organisation will establish and maintain an ethos where our children feel secure, are encouraged to talk, are listened to and are safe.  Children will be able to talk freely to me if they are worried or concerned about something.

I will work closely with Safer Ways, CADS, teachers, staff, parents and carers and volunteers either through training or induction, to ensure they know how to recognise a disclosure from a child, and will know how to manage this.

We will not make promises to any child and we will not keep secrets. Every child will know what the adult will do with whatever they have been told.

We will provide activities and opportunities that will equip our children with the skills they need to stay safe. 

At all times we will work in partnership and try to establish effective working relationships with parents, carers and colleagues from other agencies and organisations.

When working with parents and carers your privacy and specific needs will be respected at all times.

The times I will share your details is if I am concerned for your well-being, safety or welfare, whether it be mental, emotional, physical or sexual.

If I am concerned for the welfare of a child (under 18) in your care I will seek outside professional help from Safer Ways and CADS.

I will work closely with appropriate agencies or medical professions to seek the most appropriate help and support for you, and for your children.

If I think you are in need of emotional or active support I will discuss this with you, so appropriate action can be attained.

When such advice is given, the advice will be put in writing, and you will be required to sign an agreement with Dawn Chrystal, to say that you will follow this through and take appropriate action.

The responsibility will lay with you to take appropriate action.

Dawn Chrystal will keep a record of your signed agreement of the action recommended.

If you are the assigned person taking responsibility for your child (under 18), you will undertake to seek out support and take the appropriate actions.

Privacy Policy

Your privacy and your records will be treated with absolute respect. I will follow strict guidelines by keeping your personal information, and the information of your child/children in a secure and safe place.

I will gather and process your personal information in accordance with this privacy notice and in compliance with the relevant data protection regulations and laws

I will only share the information if I am concerned for your welfare, or for that of a child. This will be done under strict guidelines from Safer Way and CADS.

All information I request from you, medical, emotional or otherwise, will be to help me give the most appropriate services and support for each individual.

When gathering information from you and the child, it is always to ensure that I have the best understanding of the situation surrounding each person concerned.

You have the right to access to the information I have gathered and recorded. For this purpose, I will request formal official identification, and a reason for you needing to access this information

Your personal information will never be used for advertising purposes, or for a general database for emailing, unless you request to be added to a specific mailing list. This will be done by a specific request, with an understanding of how I will use your details. You have the right to withdraw your permission at any time.

OCIR

If we are working under the guidelines of the educational and mental health app OCIR, OCIR gather and process your personal information in accordance with this privacy notice and in compliance with the relevant data protection regulations and laws. This notice provides you with the necessary information regarding your rights and our obligation.

OCIR Registered

Our offices are registered at Brainium Information Technologies, PVT Ltd, Shakti Tower, EN 60, 5th Floor, Sector V, Saltlake, Kolkata 700091, India, Registration Number 191520. We act as the data processor processing your data on behalf of the data controller.

Our designated data protection officers/appointed person Aiesha Bailey who can be contacted via email. You will be given this information on request.

Information that we collect

OCIR processes your personal information to meet our legal statutory and contractual obligation and to provide you with our product and services, we will never collect any unnecessary personal data from you, and do not process your information in any way other then as specified in this notice.

The personal details we collect from parents include name, child name, date of birth, email address, mobile phone number, microphone/camera uploaded data, app usage data.

How we use your personal data

OCIR take your privacy very seriously, and will never share or sell your data without your consent, unless required to do so by law.

It is important to provide correct data to enable you to use the app’s features and to maintain your account, and to take advantage of announcements, updates and security alerts.

We only retain your data for as long as necessary, and for the purposes specified in the notice. Where you have consented to us providing you with promotional offers and marketing, you are free to withdraw this consent at any time.

The purpose and reason for processing your personal details include: contact detail for data controller purpose, feedback and testimonials on products, support problems and fellowship, updating data controller detail.

You have the right to access any problem information that OCIR processes about you and to request information about:

Consequences of not providing your data

You are obligated to provide information that is required to provide you with our service on behalf of our data controller. We will not be able to offer some/all services without this information.

OCIR only ever retain personal information for as long as is necessary and we have strict review and retention policies in place to meet this obligation.

Where you have consented to using your details for direct marketing, we will keep such data until you notify us otherwise and/or withdraw your consent.

Special categories data

Owing to the products, services or treatment that we offer, OCIR Parent sometimes needs to process sensitive personal information (known as special category data) about you, to process on behalf of the data controller. Where we collect such information, we will only request and process the minimum necessary for the specified purpose and identity a compliant legal basis for doing so.

Where we rely on your consent for processing special category data, we will obtain your explicit consent through registration form within this app.

You can modify, or withdraw consent at any time, which we will act on immediately, unless there is a legitimate or legal reason for not doing so.

If you consent to us collecting and using your race, ethnic origin, gender, political opinion, religion, biometric data that is used for ID purposes and health for the purposes stated above, please check the box and sign within the registration form.
